The Challenge
Client work happens in WhatsApp — group threads, direct chats, voice notes, files. Requests arrive between meetings, commitments get made in passing, and follow-ups depend on someone remembering to write them down. Response time was a function of when a human next scrolled back through the thread, and nothing connected a conversation to the task it created, the deadline it set, or the invoice it implied.

What We Built
Optomize built an AI agent that sits on the company's own WhatsApp line and runs client operations end to end. It monitors every client conversation continuously, understands what was actually asked, takes action on it, and maintains a live task ledger for each client — while routing anything client-facing or financial to a human for approval before it goes out.
Platform Capabilities
- Continuous conversation monitoring — Every client group and direct thread is ingested and folded into a per-client record — nothing depends on someone taking notes.
- Automatic action on requests — A request in chat becomes the work itself: drafted reply, proposal, quote, invoice, calendar hold or research task.
- Live task ledger per client — Commitments, owners and due dates are extracted from conversation and resurfaced as they age, so nothing quietly goes cold.
- Per-client memory — A running dossier per client, updated after every interaction — the agent enters each thread with the full history.
- Proactive briefings & chase cycles — Scheduled morning briefings, deadline watch, invoice and proposal chases, and client status updates.
- Connected to the business systems — Wired into accounting, email, CRM, calendar and document storage, so action taken in chat lands in the systems of record.
- Human approval on anything that matters — Nothing client-facing, financial or public is sent without explicit sign-off.
The Results
- 250% improvement in client response time.
- Client satisfaction and support metrics improved across the board.
- Requests are actioned straight from the conversation, not from a backlog someone has to reconstruct.
- Every client has a current, live task list without anyone maintaining one by hand.
